An expression of interest is a free registration by an advocates' or legal advisers' law firm that wants to use Consilaris once the service launches. It is not a contract, it gives no access to the software and it does not bind the law firm or us in any way. After the launch, we inform the law firms whose registration we have verified that they can conclude a contract.
The registration takes place in the Consilaris application. This document sets out the rules of registration and how we process the data provided when registering.
The prices shown on the Consilaris website are for information only. They are neither an offer nor a commitment by either party. The law firm concludes a contract only after the service launches, under the Consilaris Terms of Service and Payment Terms in force on the day it is concluded and according to the price list of that day.
From the day the contract is concluded, the law firm uses a trial period of 90 days, with full functionality, free of charge and without providing payment card details. The trial period does not automatically convert into a paid subscription.
Only an advocates' or legal advisers' law firm operating in Poland can be registered. The registration is made by an advocate or legal adviser practising in that law firm, who provides its NIP number.
Based on the NIP number, the application automatically checks in the REGON register maintained by Statistics Poland (Główny Urząd Statystyczny) whether the entity is active and carries out legal activities. The result of this check decides whether the registration is accepted. If the register is temporarily unavailable, the registration can be repeated later. If the result is negative and the law firm considers it wrong, please contact us through the form on the website.
- The person registering provides the law firm's NIP number. The application retrieves its official name and REGON number from the register.
- The person registering provides their entry number on the list of advocates or legal advisers of the competent bar and their contact details: first name, last name, e-mail address and, optionally, telephone number. They choose whether we confirm the registration by e-mail or by telephone.
- The person registering confirms that they have read this document. Separately and voluntarily, they may agree to receive information about Consilaris by e-mail.
- The person registering confirms their e-mail address with a code from a message and sets a password. This creates a registration account.
The registration account is used only to view one's own registration, change the consent to information about Consilaris and log out. It gives no access to the software.
We verify every registration manually. Our team checks the entry in the register of the competent bar and confirms that the registration is intended by contacting the law firm using its official details from the bar register: by a message with a link to the law firm's official e-mail address or by telephone to its official number, depending on the method chosen. Only the person registering receives the code and enters it in the application. We never ask anyone for it and never provide it.
Verification takes up to 48 working hours. If it is not completed within that time, we wait a further 72 working hours, and we delete an unverified registration together with the registration account and its data. If the law firm did not make the registration, it rejects it using the link in the verification message; the NIP number is then blocked until the law firm confirms it.
One NIP number may have one confirmed account. A law firm with several people uses one account.
The controller of the data provided when registering is MIVARE GROUP PROSTA SPÓŁKA AKCYJNA, with its registered office in Krasnobród, KRS 0001268091, NIP 9223092251, REGON 545767254, the owner of the Consilaris brand. Contact on data matters: biuro@consilaris.pl. No data protection officer has been appointed.
- Handling the registration and informing about the launch of the service: steps taken at the request of the person registering before entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in preparing the launch of the service (Article 6(1)(f) GDPR).
- Checking the NIP number in the REGON register, verifying the entry in the bar register and confirming that the registration is intended by contacting the official details from the bar register: our legitimate interest in limiting the service to advocates' and legal advisers' law firms and in protecting law firms against registration in their name by an unauthorised person (Article 6(1)(f) GDPR).
- Information about Consilaris sent by e-mail: consent (Article 6(1)(a) GDPR), which can be withdrawn at any time without affecting earlier mailings.
- Security of the application, including the event log and protection against abuse, and defence against claims: legitimate interest (Article 6(1)(f) GDPR).
We process: the NIP number, official name, REGON number and the result of the law firm check in the register; the entry number in the bar register and the chosen verification method; the law firm's official e-mail address and telephone number from the bar register, which we use only for verification; the first name, last name, e-mail address and telephone number of the person registering; registration account data, that is the e-mail address as login and the password only as a cryptographic hash; the record of acceptance of the document and of consent to information, with the date and the document version; technical data on logins and actions in the application, including IP address and time.
We obtain the official name, REGON number and the result of the law firm check from the REGON register, and the law firm's official contact details from the register of the bar of advocates or legal advisers. The person registering provides their own contact details. Providing data is voluntary, but without it we cannot accept the registration.
The data is processed on our behalf by the provider of the application server and backup storage in the European Union (Contabo GmbH, Germany) and by the e-mail provider (OVH). We send the NIP number to Statistics Poland in a query to the REGON register. We do not transfer data outside the European Economic Area and we do not sell it.
The register check is automatic and concerns the law firm, not an assessment of the person registering. We do not profile the people who register.
We delete a registration not verified within the periods described above together with the registration account. A record without personal data (a hash of the NIP number, the date and the result) remains in the log for each verification and is kept for 12 months. We keep registration data until the launch of the service, for no longer than 12 months from the launch date. After a withdrawal, we promptly delete the registration and the registration account together with its data, except for information about the withdrawal and the withdrawal of consent, which we keep until the limitation period for claims expires. Once the law firm concludes a contract, further rules are set out in the Consilaris Terms of Service and the Consilaris Privacy Policy.
The person registering has the right of access to the data, rectification, erasure, restriction of processing, data portability, to object to processing based on legitimate interest and to withdraw consent. The registration can be withdrawn at any time, in the registration account or by a message to biuro@consilaris.pl.
The person registering may also lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, Poland).
